At Vlex, we’re looking for a Marketing Operations Specialist (MOS) who will play a critical role in enabling the flawless technical execution of campaigns through HubSpot. This role is ideal for someone who thrives on optimizing marketing processes, building structured campaign infrastructures, and ensuring data quality and attribution integrity across tools and teams. You won’t be running campaigns daily—you’ll be empowering the team to do so more effectively.
Role Summary:
The Marketing Operations Specialist (MOS) is responsible for enabling and optimizing the technical execution of marketing campaigns through HubSpot. This includes campaign tracking, automation, integration, audience segmentation, and the creation of operational assets. The MOS is a key enabler—not a daily executor—ensuring scalability, accuracy, and efficiency across marketing processes
Key Responsibilities
Campaign Execution & Auditing
- Audit marketing campaigns in HubSpot, ensuring correct use of tracking URLs, preventing duplication of UTM campaigns, and maintaining clean attribution logic.
- Ensure that marketing assets (emails, forms, landing pages) are properly assigned and not reused across campaigns without control, avoiding attribution conflicts.
- Build and maintain simplified documentation for internal use (“Marketing Hub for Dummies”) to reduce operational errors and increase autonomy within the marketing team.
Landing Pages & Campaign Infrastructure
- Provide the marketing team with standardized templates, sections, modules, and layouts to scale the deployment of landing pages in HubSpot.
- Monitor landing page usage to identify and flag configuration issues that may affect campaign performance, without being responsible for daily landing creation.
Webinars & Event Integration
- Integrate GoToWebinar with HubSpot, ensuring form submissions originate in HubSpot to prevent data loss.
- Create reusable templates and documentation to streamline webinar workflows, reducing Ops team dependency in repetitive use cases.
- Review the Marketing Events object in HubSpot for webinars and conferences, ensuring proper setup, attribution, integration, and import of related data.
Audience Management & Segmentation
- Build and maintain segmented audiences using advanced HubSpot logic (associations, custom events, properties), ensuring clean segmentation for campaigns.
- Monitor and clean unused lists to prevent exceeding platform limits, and support or train the Marketing team on basic list maintenance.
Form & Workflow Automation
- Create and maintain HubSpot forms integrated into existing workflows, including hidden fields, property mapping, and lead routing logic.
- Write and configure automated notifications and nurturing flows to convert free users or clients toward deeper engagement with Vincent AI.
- Activate recurring workflows for weekly webinars (vLex.tv), integrating registration with routing and lead assignment rules.
Campaign Performance & Attribution
- Track paid media campaigns in HubSpot by coordinating with the Paid Media Specialist to ensure accurate campaign, form, workflow, and UTM setup.
- Technically review paid campaigns post-handoff using Ads Hub and reporting tools to validate tracking and attribution.
- Monitor the performance of email and sales sequences, ensuring correct setup, campaign association, and integration with workflows.
Custom Tracking & Product Usage Signals
- Create behavior-based audiences or segments based on product usage or PQL scoring.
Integration & Automation Support
- Audit integrations with tools like Zapier, APIs, and Userflow, optimizing automation across marketing and sales.
- Support Sales with scheduling tools (e.g., HubSpot meeting scheduler, Calendly), managing routing rules by industry, region, or team, and ensuring backend logic is implemented correctly.
- Audit and maintain target account lists, cleaning misassigned records and ensuring proper regional/industry segmentation.
- Monitor and notify about contact routing issues or improvements within the sales process.
Process Documentation & Enablement
- Document processes and campaign structure in Notion (naming conventions, attribution logic, sequences, campaign builds).
- Support onboarding of new team members (Marketing & Sales) with tailored training on HubSpot campaigns, workflows, naming standards, and platform best practices.
- Communicate structural changes in campaigns or processes across teams (Marketing, Sales, Ops, Product), ensuring awareness and alignment.
Content & PR Campaign Automation
- Configure automation flows for content and PR campaigns, activating nurturing logic that converts top-of-funnel interest into engagement or sales opportunities.
Enablement Documentation
- Develop internal documentation tailored to recurring tasks, simplifying HubSpot execution for non-technical marketing team members.
Required Skills:
- HubSpot expertise - Deep understanding of Marketing Campaigns, Forms, Sequences, Reporting, and Ads Hub.
- UTM strategy & tracking - Proven experience setting up, maintaining, and ensuring consistency across UTM parameters for campaign attribution.
- Google Tag Manager (GTM) - Comfortable working with tags, triggers, events, and data layer management
- Integration experience - Ability to manage and troubleshoot basic integrations with tools like GoToWebinar, Zapier, Calendly, Userflow, SurveyMonkey, Vimeo, and others via native connectors or APIs.
- Campaign architecture & logic - Skilled in designing flows, audience segmentation, lead routing, and attribution strategies.
- Cross-funtional collaboration - Strong communicator with experience in operational documentation and coordinating with marketing, sales, and product teams.

This is a full-time position (8:00 a.m. to 5:00 p.m.) offered under a permanent contract, with hybrid or remote work flexibility. Salary is negotiable based on experience and skills.
